Thank you for choosing to book with The Lutwidge Arms Hotel – we hope you will enjoy your stay. The following terms and conditions apply to your booking. Your booking is made with The Lutwidge Arms Hotel and represents a legally binding contract between you and the Hotel.

The price payable includes accommodation and breakfast for the number of nights stated on your booking. On receipt of a valid credit/debit card we will confirm your stay and, at the time of booking, debit the card an amount equal to the 1st night's room rate which is non-refundable. We also reserve the right to charge the card for cancellations that fall outside the permitted time scale, as detailed below. By entering into this contract you are authorising us to make the charges to the card without any additional consent being required. We reserve the right to change prices without prior notification.

We accept payment by cash, credit card or debit card. Card details will be retained and may be used in the event of:

• Cancellation within 7 days of arrival
• “No show” or early departure
• Breakages/damage
• Breach of no-smoking or pet policy

Any extras incurred will be payable on departure, or may be charged to your card on a “customer not present” basis.

If you cancel your reservation more than seven days prior to arrival, then you will not be liable to pay the balance. Any outstanding amounts due to you will be refunded. If you cancel your reservation less than seven days prior to arrival, or a no-show, then you will be charged the full amount and no refund will be offered. However, we will in all circumstances try to resell the room, which if we are able to, will limit your liability to the initial non-refundable deposit. We strongly recommend that you take out cancellation insurance for your own protection. As we are unable to judge reasons for change, cancellation or non-arrival, guests are reminded that no exceptions to the above conditions will be made. Cancellations must be made or confirmed in writing. Cancellations through third party booking agents (ie Booking.com etc) must be made directly with the agent who will then notify us of that cancellation. We reserve the right to charge the booking agency commission to your card if cancellation is not effected through the agency of initial booking.

You will be able to check in between the hours of 2.00pm and 9.00pm. (If you wish to arrive any earlier, you may register and leave any bags.)

Arrivals after 9.00pm by prior arrangement only. If prior arrangements have not been made, and you do not arrive by 9.00pm, we are entitled to treat it as a “no-show”. Your booking may be cancelled and we have the right to re-let your room.

You are required to leave by 11.00am on the day of departure. If you fail to do so, we reserve the right to charge for an additional night’s stay.

We do accept certain Group Bookings i.e. Weddings or Walking Groups. However, in consideration of other Guests, we do not accept Stag/Hen-type parties under any circumstances. We expect all our guests to respect the rights of fellow guests to a good night’s sleep.

We are sure that you will take care whilst you stay with us, and we acknowledge that accidents sometimes happen. The valid Credit/debit card used to secure the booking will act to safeguard against damages. You will be notified in writing as soon as is reasonably practicable, if the damage is discovered after you depart. We reserve the right to charge for replacement, cleaning or repair of any items(s) belonging to the Hotel, or fabric of the Hotel itself, damaged wilfully or because reasonable precautions have not been taken. In this event your deposit/credit card will be charged without prior consent being required against invoice(s) that will be provided for the costs incurred. Copies of the invoices will be made available for your inspection once the works have been carried out. We also reserve the right to charge further sums if we are unable to re-let the room as a consequence of the damage. Candles, tealights or any naked flame are not permitted within the hotel.

The Hotel cannot be held responsible for any loss or theft of personal items/belongings on its premises/rooms including the car park. All items are left solely at the owners risk. Holiday insurance is advised. We do not accept any liability for loss or damage to your property or vehicle(s)or injury to you (or other members of your party) whilst on our premises unless caused by the negligence of us, or our employees.

All our bedrooms and public spaces are non-smoking. Any bedrooms tainted by residual tobacco odours will be specially cleaned and aired over a 24hrs period and all charges resulting from this, both actual and loss of business, will be charged to the credit/debit card given to secure the booking.

Special Dietary requirements:

We regret that we are not able to accommodate any person with serious/life threatening nut or food allergies as we cannot guarantee the provenance of every item of food in our Kitchen. We are happy to cater for any other dietary needs such as vegetarian or other diets with given notice, please tell us at the time of booking.

Unfortunately we do not allow pets in the Hotel unless they are assistance dogs

Due to the proliferation of large areas of glass structure we are unable to cater for children under the age of FIVE.

Any data collected as a result of you booking will be stored in accordance with the provisions of current Data Protection legislation.

We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer or find you alternative accommodation. However, if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.

Any dispute between us will be governed by the non-exclusive law of the English Courts.
